Ready to learn how to manage your own books with professional guidance? See If DWY Is a Fit

Done-With-You Bookkeeping for Therapists

You Can Do This. Someone Just Needs to Teach You.

We’ve heard it over and over from therapists:

“I know I can do my own bookkeeping. Can’t someone just show me how?”

We think so too.

You’re smart. You’ve made it through years of school, training, licensing, and building a practice. But somewhere along the way, no one taught you how to manage the financial side of that practice. How should you categorize transactions? How do you reconcile an account? What should your financial reports look like? And perhaps most frustrating of all—how do you know if you’re actually doing it right?

Bookkeeping is a skill, and like most skills, it can be taught.

That’s why we created Done-With-You Bookkeeping, a unique Fortitude program currently available exclusively to therapists who want to learn how to manage the books for their own practice.

You do the routine bookkeeping. We teach, guide, review, reconcile, and give you feedback along the way. You’ll also have regular opportunities to ask questions as you learn, so you’re not left trying to figure everything out on your own.

The goal isn’t to turn you into an accountant. It’s to teach you enough to confidently manage the straightforward bookkeeping for your own practice—and to recognize when it’s time to ask for professional help.

Done-With-You Bookkeeping is currently offered on a limited basis so we can provide the individual guidance and feedback the program is designed around.

What Does Done-With-You Bookkeeping Actually Mean?

You do the routine bookkeeping. We help you learn to do it correctly.

Throughout the program, you’ll keep up with the regular bookkeeping for your practice—categorizing transactions, keeping your accounts organized, and building the habits that make bookkeeping manageable.

But you won’t be left wondering whether you’re doing it right.

Fortitude provides professional oversight along the way. We’ll review your actual books at three scheduled points during the program, reconcile your accounts, identify and correct issues, and—rather than simply fixing things behind the scenes—give you feedback so you understand what happened and what to do differently next time.

You’ll also have access to monthly virtual office hours where you can bring bookkeeping questions, get clarification, and keep moving when you run into something you don’t understand.

Software Can Show You Where to Click. It Can’t Teach You Your Practice.

Learning QuickBooks Online or Xero isn’t the same thing as learning bookkeeping. Software tutorials can show you how the program works, but they don’t necessarily tell you how to keep the books for your therapy practice—or which of the hundreds of features, settings, and tutorials you actually need.

That’s part of the value of learning with Fortitude. We help you cut through the noise and focus on what matters for your practice: where to go, what to do, how to handle common transactions, and what you can safely ignore.

You don’t need to become a QuickBooks or Xero expert. You need to know how to use the parts that help you keep good books for your business.

Because Clean Books Are Useful All Year

Learning to keep good books isn’t just about getting through tax time.

Accurate, current books give you reliable numbers to work with throughout the year. They can help you understand what your practice is actually earning, plan for upcoming expenses, manage cash flow, build a realistic budget, and provide the financial information needed for meaningful tax planning.

When you understand your books, they’re no longer just records of what already happened. They become a tool for making better decisions about what happens next.

How Done-With-You Bookkeeping Works

You’ll learn by working in your own books—with professional guidance along the way.

Done-With-You Bookkeeping is built around one complete learning cycle. Instead of handing your books over to us, you’ll handle the routine bookkeeping for your practice while we provide the structure, support, and professional oversight to help you learn.

1. You Keep Up With Your Books

You’ll regularly categorize your transactions and keep your bookkeeping current rather than waiting until the end of the year. This is where you build the habits and experience that ultimately make managing your own books feel much less intimidating.

2. Bring Your Questions to Monthly Office Hours

Questions are part of learning. Each month, you’ll have the opportunity to join virtual office hours to ask bookkeeping questions, work through things you’re unsure about, and get help before a small question turns into months of incorrect bookkeeping.

3. We Professionally Review Your Books Three Times

At three scheduled points during your program, Fortitude will review your actual accounting file, reconcile your accounts, identify and correct issues, and make sure the books are coming together properly.

But we won’t simply fix something and move on. When we find an issue, we’ll help you understand what was wrong, why it matters, and what to do next time. That’s how each review helps you get better at the next round.

4. You Build Confidence With Every Cycle

Over time, the goal is for fewer things to feel unfamiliar and for you to become more comfortable recognizing what looks right, what doesn’t, and when you need to ask a question.

That knowledge stays valuable even if you eventually decide you’d rather outsource your bookkeeping. You’ll understand your financial reports, know what good bookkeeping should look like, and be better equipped to evaluate whether the person handling your books is actually doing a good job.

We believe knowledge creates confidence. You may eventually hand off the bookkeeping—but you shouldn’t have to hand off your understanding of your own business.

Rather Have Us Handle the Books?

Done-With-You isn’t the right answer for everyone. If your time is better spent with clients—or you simply don’t want bookkeeping on your to-do list—we’re happy to take it off your plate.

Fortitude offers Checkpoint and Monthly Full-Service Bookkeeping designed specifically for therapy practices.

Is Done-With-You Bookkeeping Right for You?

Done-With-You works best when you want to learn and are willing to participate. If you’d rather not spend your time doing the bookkeeping, that’s completely fine too—full-service bookkeeping may simply be a better fit.

✅ Done-With-You May Be a Great Fit If…

You want to learn.
You’re interested in understanding how your practice books work—not just getting through another tax year.

You’re willing to keep up with the routine work.
You can make a little time regularly to categorize transactions and keep your books current.

Your practice is relatively straightforward.
You’re running a solo or otherwise uncomplicated therapy practice without a lot of accounting complexity.

You want someone to check your work while you learn.
You like the idea of doing it yourself but want professional review, feedback, and a place to ask questions.

You want to understand your numbers.
You want more confidence reading your financial information and using it for budgeting, cash flow, tax planning, and business decisions.

❌ Full-Service May Be a Better Fit If…

You dread doing the bookkeeping.
Learning is one thing. Forcing yourself to spend time every month on something you hate is another. If you’d rather hand it off, that’s a perfectly reasonable choice.

Your time is more valuable somewhere else.
There is a real cost to doing something yourself. If the hours you spend on bookkeeping could instead be spent seeing clients, building your practice, or simply protecting your limited personal time, outsourcing may make better financial sense.

You won’t have time to keep up with it.
Done-With-You works when you do the routine bookkeeping between reviews. If you know it’s going to keep falling to the bottom of the list, full-service will serve you better.

Your practice has more accounting complexity.
Higher transaction volume, employees, multiple accounts, or other complexities may make professional ongoing bookkeeping a better choice.

You’re mainly looking for inexpensive cleanup.
Done-With-You is a learning program. The professional reviews are designed to teach and improve your bookkeeping—not repeatedly rebuild books that haven’t been maintained.

What You’ll Learn Along the Way

Good bookkeeping isn’t just about putting transactions in the right categories. It’s about understanding what the numbers are telling you.

As you work through your own books with professional guidance, you’ll start to understand not only how to do the bookkeeping, but why it matters to the way you run your practice.

Along the way, you’ll build a better understanding of:

  • How to categorize common practice income and expenses
  • How bank and credit card reconciliations help you know your books are complete and accurate
  • How to recognize when something in your books doesn’t look right
  • How to read basic financial reports and understand what they’re telling you about your practice
  • How clean books help you budget, manage cash flow, and plan for upcoming expenses
  • Why accurate, current financial information matters for meaningful tax planning—not just preparing a tax return at tax time

Knowledge You Keep—even If You Eventually Outsource

You may decide someday that your time is better spent seeing clients, growing your practice, or simply doing something other than bookkeeping. That’s okay. Learning how your books work doesn’t mean you have to do them yourself forever.

In fact, understanding the basics can make you a much better consumer of bookkeeping services. You’ll know what good bookkeeping should look like, understand the reports you’re receiving, know what questions to ask, and be much more likely to recognize when something isn’t being handled correctly.

We believe business owners should be empowered by their financial information—not dependent on someone else to understand it for them.

Do I need to know anything about bookkeeping before I start?

No. You don’t need prior bookkeeping experience. Done-With-You is designed to help therapists learn how to manage the straightforward bookkeeping for their own practice with professional guidance and feedback along the way.

You do need to be willing to learn, keep up with the routine work, and ask questions when you’re unsure.

What happens during the three professional reviews?

We’ll review your actual QuickBooks Online or Xero file, reconcile your accounts, look for errors or inconsistencies, and make sure your books are coming together correctly.

Just as importantly, we’ll give you feedback on what we find. The goal isn’t simply to correct your books for you—it’s to help you understand what went wrong, why it matters, and how to handle it correctly next time.

What are the monthly office hours?

Monthly virtual office hours give Done-With-You clients an opportunity to bring bookkeeping questions that come up between professional reviews. Attendance is optional, but they’re there when you need some help getting unstuck or want clarification about how to handle something.

Office hours are intended for bookkeeping education and how-to questions. Individual tax planning, tax advice, and tax preparation are separate services.

Do I need QuickBooks Online or Xero?

Yes. Done-With-You Bookkeeping is provided using QuickBooks Online or Xero. You maintain your own software subscription directly, and your accounting records remain yours.

What if I fall behind or don't keep up with the bookkeeping?

Life happens, and getting a little behind doesn’t mean you’ve failed the program. We’ll help you identify what needs to be done and get moving again.

However, Done-With-You is a learning program and does require your participation. If the routine bookkeeping consistently isn’t getting completed, we may recommend moving to Checkpoint or Monthly Full-Service Bookkeeping instead.

What happens when I finish the program?

Ideally, you finish your first cycle with the knowledge and confidence to manage the straightforward bookkeeping for your practice yourself.

You may also discover that you understand bookkeeping perfectly well—you just don’t want to spend your time doing it. In that case, you can move to Fortitude’s Checkpoint or Monthly Full-Service Bookkeeping.

When additional guided practice would be beneficial, a second Done-With-You cycle may be available. The program is limited to a maximum of two cycles because the goal is to help you become confident and independent, not keep you dependent on the program indefinitely.

Is Done-With-You Bookkeeping available to everyone?

Not at this time. Done-With-You Bookkeeping is a unique Fortitude program currently offered exclusively to therapists and mental health professionals with relatively straightforward practice bookkeeping.

Enrollment is also currently limited so we can provide the professional review, feedback, and support the program is designed around.
